2. Information and purposes
For wedding enquiries, we use your name, email, wedding date and location, and any optional message to reply, check availability and prepare a proposal. Contact is currently by email: the button opens your email app. You can enquire without a confirmed date or location. No public submission form is enabled. Please do not include sensitive information or unnecessary information about guests.
For quotations and requested preparations for a service, our legal basis is taking steps at your request before entering into a contract (GDPR Article 6(1)(b)). For other general or professional enquiries, we rely on our legitimate interest in responding to incoming communications (Article 6(1)(f)); you may object where applicable. Without the necessary details, we cannot handle the enquiry.
Website operation and security may require access and error logs, processed on the basis of legitimate interests in maintaining the service and preventing abuse. These records may include IP addresses, request dates and times, and technical access details. IONOS has informed us that its HTTP logs may currently contain non-anonymised IP addresses; we therefore do not treat these logs as anonymous.
3. Anniversary greetings
An enquiry does not subscribe you to anniversary greetings or advertising. Clients who wish to receive anniversary greetings will be asked separately for optional permission. This service is not active yet.
When enabled, we will use your name, email and wedding date for this purpose on the basis of consent. You may withdraw it at any time by emailing hello@weddingsinvr.com, without affecting your contracted service or the lawfulness of earlier processing. We will not use enquiry details for advertising campaigns.
4. Retention
Enquiries are kept while being handled and during necessary follow-up. For enquiries that do not lead to a booking, we have set deletion at 6 months after the last communication, unless legal duties or a claim require retention. Mailbox retention will be managed manually, with a monthly review of closed enquiries to arrange erasure within that period. The “Consultas sin contratación” folder does not delete messages automatically. The period runs from the last communication, not from the date a message is moved.
If you book, the service documentation will explain contractual processing and applicable legal retention. Records needed for legal duties or claims will be retained with restricted access for the relevant periods. Once anniversary greetings are enabled, their contact details will be used until consent is withdrawn; evidence of consent and withdrawal will be kept only as necessary to demonstrate compliance.
Separately, FluentSMTP email logs are configured for automatic deletion after 14 days.
According to IONOS, the log history accessible to customers for this hosting covers up to seven days and may be shorter depending on volume. This accessible history does not itself establish the retention period for all internal provider logs.
IONOS states that it usually has automatic backups from the last seven days, with variable availability and no contractual guarantee. We also keep our own site recovery backups. We have set a maximum retention period of 30 days for our complete backups, replacing them with recent copies and reviewing them monthly. These backups are used for site recovery and access is restricted.
5. Providers and recipients
We use IONOS for hosting and email. Enquiries are sent to hello@weddingsinvr.com. Messages sent using the email link are handled by your email service and our IONOS mailbox, rather than a WordPress submission form. Private tests and other WordPress notifications may still generate technical delivery logs in FluentSMTP.
No CRM is currently connected. Studio Ninja is a possible future service, not a current recipient. Before adding a provider, we will review its terms, data access, location and any international transfer safeguards, and update this information.
We do not sell personal data. Information is disclosed only to necessary service providers under appropriate safeguards, or to authorities where legally required. Our hosting and email provider is IONOS Cloud S.L.U. Its written reply states that hosting, email, logs and backups for these services are processed in Germany. Its processing agreement provides for processing in the European Union or European Economic Area, except where transfers are necessary to provide the service, with the safeguards required by the GDPR. See the processing agreement and annexes.
6. Analytics and cookies
Visitor analytics remain disabled: Statify is not collecting page views. We do not use Meta Pixel or behavioural advertising. Before enabling additional measurement, we will review its data, providers and retention and update this information. Technologies requiring consent will not be activated before your choice.
Private review access uses the technical cookie wivr_review, lasting eight hours, to remember access authorisation. It is not required to view the public website and does not constitute analytics consent. WordPress also uses technical cookies when an administrator signs in. Links to Instagram and other websites open services with their own policies. You can manage or delete cookies in your browser; doing so may end a private session.
7. Your rights
You may request access, correction, erasure, restriction, objection or portability where applicable, and withdraw consent, by emailing hello@weddingsinvr.com or writing to the address above. If identity verification is necessary, we will request only proportionate information.
You may also complain to the Spanish Data Protection Agency. We do not make automated decisions with legal effects or profile people to decide on their enquiries.
8. Scope
This policy covers website use and contact. Wedding recording, guest images and publication of photographs or testimonials require their own documentation and permissions; sending an enquiry does not authorise them. Changes to processing will be reflected here and, where needed, require a new choice.
